Decisions

A decision record holds what was decided, the reasoning, who was involved and how it was settled. Each decision gets a number within your organization, like #0042, and a link you can share.

What a decision holds

  • Title and summary. The title says what was decided; the summary gives the reasoning. The summary is rich text: headings, lists, links, images and video.
  • Tags to classify it. See Tags.
  • Approvers, if it needs sign-off. See Approvals and dissent.
  • Visibility: everyone in the organization, or restricted to its owner, admins, approvers and the collaborators you add. See Roles and access.
  • Due date (optional), set when editing. Subscribers are reminded 3 days before and on the day, and every 7 days while it's overdue.
  • Discussion, options, acknowledgements, related decisions and a revisit date, each covered on its own page.

Statuses

  • New: just recorded.
  • In discussion: open for input. The first post moves a new decision here automatically.
  • Pending approval: ready for sign-off.
  • Approved or Rejected: settled by an approver.
  • Superseded: replaced by a newer decision.
  • Archived: no longer relevant, kept for the record.

The owner, approvers and admins change the status with Change. Approving and rejecting have their own buttons, for approvers. An approved decision can only move on to superseded or archived, never back into discussion. Rejected and archived decisions can be reopened.

Editing

The owner, approvers and admins can edit a decision. Once it's approved, its title, summary and options are locked: see Frozen decisions and superseding. Tags, due date and visibility can still change.

History

Every change, from status and approvals to tags, approvers, links and edits, is recorded with who made it and when, in the decision's timeline. Nothing is silently overwritten.

Favorites and following

  • The star adds a decision to your favorites, for quick access from the dashboard and the decisions list.
  • Subscribe to be notified about its activity. You're subscribed automatically to decisions you create. See Notifications and following.

Several decisions from one meeting

Create from a meeting… on the New decision page records who was there once, then lets you create as many decisions from that meeting as you need.

Deleting

Only admins can delete a decision. It can be restored from Recently deleted decisions for 14 days, then it's removed for good. Archiving is usually the better choice: it keeps the record.
